How to choose a wedding DJ in Ottawa

From a DJ who has played the rooms. No paid spots.

The short answer

  • Ask who plays your date, and what stays the same if it isn't the person you met.
  • Ask who MCs, how you shape the music and what the backup plan is.
  • Check the paperwork: a written quote, a contract and insurance.
  • Pick the person who replies fast and clearly. That is how they will run your night too.

The 7-point checklist

Run every DJ you talk to through these seven. It takes one call.

  1. Who actually plays your date

Is the DJ you meet the DJ who plays? If it could be someone else, ask how they pick that person and what stays the same.

  2. MC: included or not

A friend who knows both families is great for intros and speeches. The DJ can take the announcements, or the whole night.

  3. Music control

You want a must-play list, a do-not-play list and a DJ who still reads the room.

  4. The backup plan

What if the laptop dies or the DJ is sick? Listen for spare gear and a person they trust.

  5. Insurance and venue paperwork

Many venues want proof of liability insurance. Ask if they can send it. See my insurance page.

  6. Language and culture fit

Tell them what your families listen to. A good DJ asks for your help with playlists, then plays them well.

  7. How they reply

Notice how fast and clearly they answer. That is how the day will go too.

Red flags

Think twice if you hear this
  • Prices only by phone, with nothing in writing.
  • No contract and no written confirmation of your date.
  • No answer on what happens if your DJ is booked or sick.
  • No backup answer, or "that has never happened."
  • A playlist they won't let you shape.
  • Slow, vague replies before you've even booked.

What drives the price

Your day sets the number. These are the things that move it.

  • Coverage hours.
  • Ceremony and cocktail hour. Dinner and dancing is one level, the full day is another.
  • Lighting add-ons. Uplighting is priced on top.
  • Travel. Farther out, it is built into your quote.
  • Date and season.

Ottawa rooms and what they mean for your DJ

I've played all of these. Here is what changes how I set up in each.

RoomWhat matters for the DJ
LagoPlug-and-play house sound, and two floors that need sound sized separately.
Le BelvédèreInstalled sound and lighting. Last call is 1 a.m., and it closes at 1:30 a.m.
Stonefields EstateSeveral buildings, so confirm your ceremony spot before I plan sound and power.
Bleeks & BergamotFour connected spaces on a working farm. I plan sound for the courtyard and the Quonset.
Oak and PinesThe dance floor sits in the middle of the barn, with a balcony above it.

There are plenty more in my Ottawa venue guide.

When to book

Lock the DJ first, then build the playlist. Most couples do it the other way round.

  1. 12 months out

    Research, shortlist and call.

  2. 9 months out

For peak Saturdays, sign the contract and pay the deposit.

  3. 6 months out

Build the timeline with your DJ, venue and photographer.

  4. 3 months out

Finalize must-plays, do-not-plays and the special dances.

  5. 2 weeks out

Confirm the run sheet on a final call.

Ask thisWho plays my date, and how do you pick? What happens if you can't make it?

Here is how I do it. I keep my own calendar to a set number of weddings each year. Dates go fast, so grab a quick call and I'll tell you straight whether yours is open.

Five questions for the call

  1. Who plays my date?
  2. What happens if you or your gear fails?
  3. How do I shape the music?
  4. What is in my quote, and what costs extra?
  5. Do you carry insurance, and can you send proof?

Questions people ask

How much does a wedding DJ cost in Ottawa?

It depends on your hours, your venue, how much of the day is covered and add-ons like uplighting. I don't put numbers on this guide, because your day sets the number. Read my cost page to see what moves a quote, then ask every DJ for a written quote that lists each line.

How far ahead should I book a wedding DJ?

Six to twelve months ahead works for summer Saturdays in Ottawa. Book once your date and venue are set. Build the timeline about six months out, and lock your must-plays and do-not-plays at three months. Short notice can still work, so ask about your date.

What should a wedding DJ quote include?

The coverage hours, MC duties, sound sized to your guest count, a planning call, backup equipment and any travel. Uplighting and photo booths should show up as separate lines. A written quote also confirms the coverage and the total. Ask for a breakdown if the price is vague.

Big company or solo DJ, which is better?

Neither is always better. A bigger team has more DJs to cover your date, but the person you meet may not be the one who plays. A solo DJ is usually the person you met, but one calendar fills up fast. Ask either one who plays your date and what happens if they can't.

Should my DJ also be my MC?

It can help, because one person cues the mic and the music with no dead air. But a friend or family member who knows both families often does the intros and speeches best. I take the announcements, or the whole night if you want. Ask any DJ how much mic work they do.

What if my DJ is sick or the gear fails?

Ask before you book. I bring a backup setup of laptops, mixers, speakers, mics and cables to every wedding, plus a backup drive and extra USB cards. In eight years I haven't needed the full backup. "That has never happened" is not a plan, so listen for specifics.
